Forms are built by admins using the \u003Ca href=\"/help/check-form-builder-management\">Check Form Builder\u003C/a> and can be scheduled to appear automatically on your team’s To Do List.\u003C/p>\n\u003Ch2>Overview\u003C/h2>\n\u003Cp>When you open the \u003Cstrong>Checks\u003C/strong> page, you’ll see:\u003C/p>\n\u003Cul>\n\u003Cli>\u003Cstrong>Perform a Check\u003C/strong> — a grid of available check forms. Click any form card to start completing it.\u003C/li>\n\u003Cli>\u003Cstrong>In Progress\u003C/strong> — any checks you’ve started but not yet submitted (drafts).\u003C/li>\n\u003Cli>\u003Cstrong>Completed Checks\u003C/strong> — a table of previously submitted checks, filterable by date range.\u003C/li>\n\u003C/ul>\n\u003Cp>Forms with a \u003Cstrong>clock icon\u003C/strong> have a schedule set up. Forms with a \u003Cstrong>red border\u003C/strong> have a check that’s currently due or overdue.\u003C/p>\n\u003Cp>If a check is due, it also appears on your \u003Cstrong>Home page To Do List\u003C/strong> with a “Due in” or “Overdue by” timer.\u003C/p>\n\u003Ch2>Performing a Check\u003C/h2>\n\u003Cp>To complete a check:\u003C/p>\n\u003Col>\n\u003Cli>Find the form card in the \u003Cstrong>Perform a Check\u003C/strong> section (or click a due check from your To Do List).\u003C/li>\n\u003Cli>Click the card to open the check form.\u003C/li>\n\u003Cli>Fill in the fields — these vary depending on the form and might include:\n\u003Cul>\n\u003Cli>\u003Cstrong>Yes / No / N/A\u003C/strong> questions\u003C/li>\n\u003Cli>\u003Cstrong>Text\u003C/strong> answers (short or long)\u003C/li>\n\u003Cli>\u003Cstrong>Numbers\u003C/strong> or \u003Cstrong>temperatures\u003C/strong> (with min/max validation)\u003C/li>\n\u003Cli>\u003Cstrong>Date and time\u003C/strong> fields\u003C/li>\n\u003Cli>\u003Cstrong>Dropdowns\u003C/strong> with predefined options\u003C/li>\n\u003Cli>\u003Cstrong>Photo attachments\u003C/strong> — take or upload photos directly\u003C/li>\n\u003Cli>\u003Cstrong>Signatures\u003C/strong> — sign on screen with your finger or mouse\u003C/li>\n\u003Cli>\u003Cstrong>Supplier selection\u003C/strong> — pick from your \u003Ca href=\"/help/suppliers-management\">suppliers list\u003C/a>\u003C/li>\n\u003Cli>\u003Cstrong>Comments\u003C/strong> — add notes to specific questions\u003C/li>\n\u003C/ul>\n\u003C/li>\n\u003Cli>Tick the \u003Cstrong>confirmation checkbox\u003C/strong>: “I, [Your Name], have checked the information and confirm it is correct.”\u003C/li>\n\u003Cli>Click \u003Cstrong>‘Submit a check’\u003C/strong> to save.\u003C/li>\n\u003C/ol>\n\u003Cp>Your completed check will appear in the \u003Cstrong>Completed Checks\u003C/strong> table.\u003C/p>\n\u003Ch2>Saving a Draft\u003C/h2>\n\u003Cp>If you need to stop partway through a check, click \u003Cstrong>‘Save as draft’\u003C/strong> instead of submitting. The check will appear in the \u003Cstrong>In Progress\u003C/strong> section where you can:\u003C/p>\n\u003Cul>\n\u003Cli>Click \u003Cstrong>‘Continue check’\u003C/strong> to resume where you left off.\u003C/li>\n\u003Cli>Click \u003Cstrong>‘Delete’\u003C/strong> to discard the draft.\u003C/li>\n\u003C/ul>\n\u003Cp>Drafts are also saved automatically when you upload or delete a photo within a check.\u003C/p>\n\u003Ch2>Viewing Completed Checks\u003C/h2>\n\u003Cp>The \u003Cstrong>Completed Checks\u003C/strong> section shows all submitted checks in a table with the form title, date, time, and who signed it off.\u003C/p>\n\u003Cul>\n\u003Cli>Use the \u003Cstrong>date range filter\u003C/strong> to view checks from the last \u003Cstrong>7\u003C/strong>, \u003Cstrong>14\u003C/strong>, \u003Cstrong>30\u003C/strong>, or \u003Cstrong>90 days\u003C/strong> (defaults to 7 days).\u003C/li>\n\u003Cli>Use the \u003Cstrong>search bar\u003C/strong> to find checks by form title or content.\u003C/li>\n\u003Cli>Click the \u003Cstrong>view button\u003C/strong> (eye icon) to open a read-only view of any completed check, including all the answers, photos, signatures, and metadata (reference code, revision, who issued the form, and when).\u003C/li>\n\u003C/ul>\n\u003Ch2>Exporting Checks as PDF\u003C/h2>\n\u003Cp>To download a completed check as a PDF:\u003C/p>\n\u003Col>\n\u003Cli>Find the check in the \u003Cstrong>Completed Checks\u003C/strong> table.\u003C/li>\n\u003Cli>Click the \u003Cstrong>PDF button\u003C/strong> (document icon).\u003C/li>\n\u003Cli>The PDF will be generated and downloaded to your device, including all form data, photos, and signatures.\u003C/li>\n\u003C/ol>\n\u003Cp>On mobile, the file is saved to your device’s storage.\u003C/p>\n\u003Ch2>Scheduled Checks\u003C/h2>\n\u003Cp>Admins can schedule check forms to appear on your team’s To Do List at regular intervals. When a scheduled check is due, the form card shows a red border and appears on the Home page To Do List.\u003C/p>\n\u003Cp>Once you complete the check, the schedule resets and the next occurrence is calculated automatically.\u003C/p>\n\u003Cp>For details on setting up schedules, see the \u003Ca href=\"/help/check-form-builder-management\">Check Form Builder &amp; Management\u003C/a> guide.\u003C/p>\n\u003Ch2>Admin Features\u003C/h2>\n\u003Cp>Admins have additional options:\u003C/p>\n\u003Cul>\n\u003Cli>\u003Cstrong>Manage Forms\u003C/strong> — opens the \u003Ca href=\"/help/check-form-builder-management\">Check Form Builder\u003C/a> to create or edit check forms.\u003C/li>\n\u003Cli>\u003Cstrong>Scheduler\u003C/strong> — set up recurring schedules for check forms (daily, weekly, monthly, etc.).\u003C/li>\n\u003Cli>\u003Cstrong>Edit completed checks\u003C/strong> — click the edit button (pencil icon) on any completed check to re-open and update it.\u003C/li>\n\u003Cli>\u003Cstrong>Custom timestamp\u003C/strong> — when performing a check, admins can tick “Check was performed at a different date or time” to backdate the record.\u003C/li>\n\u003C/ul>\n\u003Ch2>Auditor Access\u003C/h2>\n\u003Cp>If your account has the \u003Cstrong>Auditor\u003C/strong> role, you can view completed checks and export them as PDFs, but you cannot perform checks, save drafts, or manage schedules.\u003C/p>\n\u003Chr>\n\u003Cp>Consistent checks are the foundation of food safety compliance.
