You’ll find it under \u003Cstrong>Settings &gt; Users\u003C/strong>.\u003C/p>\n\u003Ch2>Overview\u003C/h2>\n\u003Cp>The Users page shows your team as a card-based layout, split into two sections:\u003C/p>\n\u003Cul>\n\u003Cli>\u003Cstrong>Users in This Location\u003C/strong> — team members assigned to the location you’re currently viewing.\u003C/li>\n\u003Cli>\u003Cstrong>Users in Other Locations\u003C/strong> — team members assigned to other locations in your business.\u003C/li>\n\u003C/ul>\n\u003Cp>Each user card displays their \u003Cstrong>name\u003C/strong>, \u003Cstrong>role\u003C/strong> (colour-coded badge), \u003Cstrong>email or username\u003C/strong>, \u003Cstrong>status\u003C/strong> (active now or last active time), \u003Cstrong>locations\u003C/strong> they’re assigned to, and \u003Cstrong>when their account was created\u003C/strong>.\u003C/p>\n\u003Cp>At the top, you’ll see the total count of active users in the current location and a \u003Cstrong>‘New User’\u003C/strong> button to add team members.\u003C/p>\n\u003Ch2>Adding a User\u003C/h2>\n\u003Cp>To add a new team member:\u003C/p>\n\u003Col>\n\u003Cli>Click the \u003Cstrong>‘New User’\u003C/strong> button.\u003C/li>\n\u003Cli>A form opens with a progress checklist: \u003Cstrong>Contact Details → Location &amp; Department → Role\u003C/strong>.\u003C/li>\n\u003C/ol>\n\u003Ch3>Contact Details\u003C/h3>\n\u003Cul>\n\u003Cli>\u003Cstrong>First Name\u003C/strong> and \u003Cstrong>Last Name\u003C/strong> (required).\u003C/li>\n\u003Cli>Choose how the user will sign in:\n\u003Cul>\n\u003Cli>\u003Cstrong>Email address\u003C/strong> — the user will receive an auto-generated password by email.\u003C/li>\n\u003Cli>\u003Cstrong>Username and password\u003C/strong> — tick the checkbox to set up a username-based login instead (useful if the team member doesn’t have an email).\u003C/li>\n\u003C/ul>\n\u003C/li>\n\u003C/ul>\n\u003Ch3>Location and Department\u003C/h3>\n\u003Cul>\n\u003Cli>\u003Cstrong>Location(s)\u003C/strong> — select which location(s) the user should be assigned to. You can assign them to multiple locations.\u003C/li>\n\u003Cli>\u003Cstrong>Department(s)\u003C/strong> — if your account has the Departments feature, you can also assign them to one or more departments.\u003C/li>\n\u003C/ul>\n\u003Ch3>Role\u003C/h3>\n\u003Cp>Choose the user’s role:\u003C/p>\n\u003Cul>\n\u003Cli>\u003Cstrong>User\u003C/strong> — standard access to day-to-day features (logging temperatures, checks, food records, etc.). Cannot access Settings or manage other users.\u003C/li>\n\u003Cli>\u003Cstrong>Admin\u003C/strong> — full access to everything, including Settings, user management, locations, and all configuration options.\u003C/li>\n\u003C/ul>\n\u003Col start=\"3\">\n\u003Cli>Click \u003Cstrong>‘Create User’\u003C/strong> to finish. This preserves all their historical activity (temperature logs, checks, etc.).\u003C/p>\n\u003Col>\n\u003Cli>On their user card, click the \u003Cstrong>options menu\u003C/strong>.\u003C/li>\n\u003Cli>Select \u003Cstrong>‘Deactivate’\u003C/strong>.\u003C/li>\n\u003Cli>The user will be marked as inactive and can no longer sign in.\u003C/li>\n\u003C/ol>\n\u003Cp>To \u003Cstrong>reactivate\u003C/strong> a deactivated user:\u003C/p>\n\u003Col>\n\u003Cli>Find the deactivated user card (shown with a yellow “Deactivated” banner).\u003C/li>\n\u003Cli>Click the \u003Cstrong>options menu\u003C/strong> and select \u003Cstrong>‘Re-Activate’\u003C/strong>.\u003C/li>\n\u003C/ol>\n\u003Ch2>Granting Auditor Access\u003C/h2>\n\u003Cp>Auditor accounts give external auditors or inspectors \u003Cstrong>read-only access\u003C/strong> to your Forkto data. They’re managed separately from regular team members.\u003C/p>\n\u003Cp>To grant auditor access:\u003C/p>\n\u003Col>\n\u003Cli>Go to \u003Cstrong>Settings &gt; Auditor Access\u003C/strong>.\u003C/li>\n\u003Cli>Enter the auditor’s \u003Cstrong>email address\u003C/strong>.\u003C/li>\n\u003Cli>Click \u003Cstrong>‘Send Access’\u003C/strong> — they’ll receive an email with their login credentials.\u003C/li>\n\u003C/ol>\n\u003Cp>To revoke access, find the auditor in the list and click \u003Cstrong>‘Revoke Access’\u003C/strong>.
